Greater Control of Vehicle Costs with Integrity Software
Integrity Software, supplier of the construction accounting software package, Evolution, has recently launched a Vehicle Management tool enabling customers to have greater control and visibility of the vehicles in their fleet.
Following feedback from its customers, Integrity Software identified a need among users for a tool to help them manage information relating to their company cars, vans and other vehicles from within their Evolution accounting system. This information, often stored in static spreadsheets, can be extremely costly for a business when not kept up to date and managed correctly.
Vehicle Management is fully integrated with Evolution and helps businesses to identify the hidden costs within their fleet, for example by utilising the fuel efficiency graphs within the system, users are able to quickly see which vehicles (and drivers!) are least efficient and act accordingly, for example by investigating a potential fault on an inefficient vehicle.
The module also ensures key events are not overlooked, for example flagging a reminder when an annual service or MOT is due or when a key mileage milestone has been reached. In fact all vehicle activity can quickly be viewed via an online calendar.
Creating consistency around the inspections of company vehicles can also be a challenging task, particularly when the size of fleet exceeds 10 vehicles. Vehicle Management provides a tool to manage this activity with a built-in ‘Inspection Manager’. The system prompts drivers to inspect their vehicles as required, daily or weekly, and report on current faults or flag potential issues for the future, highlighting tyre wear on a particular vehicle for example.
Due to the integration of Vehicle Management with the Purchase Order module within Evolution, the system can automatically raise a PO for vehicle parts which need replacing, reducing the time a vehicle is off the road and ensuring visibility of all costs associated with vehicle repairs.
Justin Moule, Managing Director of Integrity Software, commented: “Managing a fleet of vehicles can be a time-consuming task for a busy contractor and costs can easily be overlooked. Vehicle Management has been designed to increase the visibility of costs and activity and also to keep an audit trail of which drivers are assigned to individual vehicles on a daily basis.
Vehicle Management utilises information already being collected in Evolution, for example fuel receipts. This information can then be assigned to vehicles and used to produce useful efficiency graphs, helping to identify and act upon inefficient vehicles.”
